Job Summary

Advises on events and manages the operational activities associated with the Central Reservations Office.
  • Serves as a liaison to the university community and external guests regarding Central Reservations Office functions, the reservation process and the use of the Event Management Systems (EMS) application under the guidance of the Director.
  • Coordinates the reservation workflow and daily audits of workflow processes to ensure units timely respond and complete reservations. Audits space requests daily for compliance with policy and procedures. Reports regularly on trends in compliance.
  • Serves as point of contact or Event Coordinator for multi-venue and/or external customers' reservations according to the Event Coordinator checklist and records payments for each in the Central Reservation system.
  • Receives cash and check payments from customers and deposits them to the university's cashiers.
  • Collaborates with the technical team to test system and integration functionality and makes recommendations on configuration and implementation. Schedules system downtime and sends out approved communications on such downtime to users in a timely manner.
  • Communicates clearly and timely to team and units regarding on-boarding process expectations, timeline, university-wide standards, configuration and options.
  • Interprets administrative rules and policies relating to reservations and using best practices as a basis, recommends new and improved ways to coordinate central reservations efficiently, equitably and sustainably.
  • Reviews user feedback and issue submissions from all sources, responds to users on established procedure and policy, and consults the Director on responses to non-routine matters.
  • Responsible for scheduling and delivering training of EMS and processes.
  • May supervise lower level staff.
Minimum Qualifications
  • Bachelor's degree and two (2) years of related experience; OR six (6) years of related experience; OR an equivalent combination of relevant education and/or experience.
Desired Qualifications
  • Proficiency in Event Management Systems (EMS) scheduling software
  • Experience in event management.
  • Knowledge of Social Tables diagramming software
  • Knowledge of Microsoft 365 (including SharePoint)
  • Knowledge of Cascade
  • Knowledge with supply chain analytic reports.
