Job Summary
The Division Office Manger provides administrative and budgetary support for an academic division within Academics and Workforce Development.
Job Duties:
Prepare semester contracts for adjuncts and full-time faculty overloads. Distribute and collect new hire paperwork for adjuncts, including verifying documents.
Track departmental budget and order departmental supplies. Primary cardholder for the division (responsible for pro-card edits and paperwork). Enter travel reimbursements and purchasing vouchers.
Perform general administrative support duties for the division (e.g., attend division meetings and prepare minutes, room reservations in ASTRA, order toner and paper for printers, place printer service calls, place IT work orders, etc.).
Data entry – attach instructor names to classes in PeopleSoft.
Serve as receptionist (greeting students, answering student questions, answering the phone, etc.).
Provide guidance and support to faculty and adjuncts as needed (e.g., password resets, questions about verifying attendance, entering grades, posting cancelled class signs, etc.).
Other duties as assigned.
Minimum Qualifications:
Associate degree (related field) and one year of related experience, or two years of related work experience.
