Duties and Responsibilities
Reporting to the Vice President and Chief Information Officer, the business manager supports the business operation of Information Technology Services in controlling the fiscal operations and financial integrity of units within the Information Technology Services Division. This includes management and forecasting for both operating and capital budgeting, and some additional activities related to the occasional staffing of ITS resources on grant-funded projects. This position also manages the operating budget for the Campus Safety Department. The ITS operating budget is approximately $29M and the Campus Safety operating budget is approximately $7.5M. This position will support the divisions leadership team, and will have a close working relationship with the areas within the Financial Services Division (Budget & Financial Analysis, Accounts Payables, Accounting, Purchasing, Payroll and Bursar) to insure coordination of best financial policies and practices within ITS in a manner consistent with the financial requirements of Loyola University Chicago.
Essential Responsibilities Include:
Bachelor's degree in business, finance or related field and three-five years of experience in finance or accounting, MBA or CPA strongly preferred; equivalent combination of experience and education may be considered.

Availability:
The majority of the work for this position will occur within the standard work week. However, this position will be on-call, and may need to be available during off-hours to meet deadlines or changes in requirements.

Essential Responsibilities Include:
- Develop, prepare and manage department's annual operating, capital, and carry forward budgets. Ensure that budgets are prepared accurately reflect expenditures and revenues, including multi-year budget plans that inform strategic planning purposes.
- Develop and prepare monthly budget vs. actual vs. forecast reports to ensure that the budget plans are being met. Identify risks and opportunities and initiate timely actions to address, resolve and implement solutions in coordination with the vice president and the senior leadership team.
- Provide support relating to all budgetary and financial matters to vice president and department directors within the ITS division, and Director of Campus Safety.
- Establish, monitor, refine and evaluate the Division budget, policies and practices.
- Actively seek cost-savings opportunities with the division leadership team and advise on strategies for process improvement in budgetary matters.
- Review and approve all procurement card transactions for the division, ensuring compliance with University standards.
- Train appropriate division staff in monitoring their unit budgets and properly recording and accounting for business transactions. Maintaining and implementing solid internal accounting controls is also an important requirement of this position.
- Support vice president in position management including the tracking of vacant position numbers, employee turnover, and budget allocations for new hires.Stay current on continuously changing financial policies/procedures and convey critical changes to the management team.
- Oversee contract tracking/renewal alert process and maintain repository for all ITS contracts.
- Manage ordering process for all ITS equipment & supplies and payment of invoices for software maintenance, subscriptions, and consulting services.
- Cultivate and sustain relationships with key vendors; assist and coordinate with Purchasing Department on preferred vendor process evaluation and selection.
- Maintain strong working relationships with divisions of Capital Planning, Finance, Human Resources, Student Development, etc.
- Other duties and projects as assigned.
