Each residential college at UC Santa Cruz employs a team of academic advisors who partner with undergraduate students to identify and pursue paths to graduation that support their educational goals and post graduation plans, and thereby make meaningful change for themselves, their families, and communities. College advising serves as the generalist branch of academic advising at UC Santa Cruz, focusing on campus-wide graduation requirements (general education, university, college requirements) and applying academic senate policy to support undergraduate degree progress. College advisors work in concert with major and minor advisors who advise on majors and minors more often with students once they are declared in a major. College advising works collaboratively with others at the college and across the campus to ensure a coordinated approach to student academic success and equitable outcomes.

JOB SUMMARY

The College Academic Advisor applies skills as seasoned, experienced academic advisor, partnering with students as they make decisions about their academic journeys. The College Academic Advisors provides advice to undergraduates as they enter and move through the university, in both one-on-one and group settings. The scope includes orientation and transition to the university for both frosh and transfer students, major exploration and declaration, and academic success, in addition to general education and university requirements.

In this role the incumbent will monitor student compliance with several academic senate regulations, utilizing a variety of technology systems and software to gather, interpret, and act on data. The College Academic Advisor approves a number of student administrative transactions as representatives of the college, which requires significant, responsible decision-making and strong administrative skills. The College Academic Advisor work independently under general supervision.

APPOINTMENT INFORMATION

Budgeted Salary: $64,000 - $66,900/annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

65% - Academic Advising
  • Asks effective questions and actively listens to help guide students, including students who are currently not enrolled and seeking readmission, toward making sound decisions around their academic experience.
  • Builds trust and provides safe, supportive opportunities for students to clarify educational goals and develop plans to achieve them
  • Provides clear and accurate information, both orally and in writing, on progress towards key milestones and completion of general education and university requirements required for graduation.
  • Teaches students to effectively utilize resources to track and evaluate progress toward graduation.
  • Evaluates and advises students on petitions for exceptions, for requests outside of standard policy, referring requests to provosts when appropriate.
  • Identifies students with academic standing or progress challenges, advises students, and recommends appropriate courses of action as a designee of college faculty (e.g., academic probation, dismissal).
  • Works with students to determine barriers that may impact academic success, makes referrals to other units with appropriate expertise.
  • Applies complex and dynamic policies and procedures and sound judgment on policy interpretation and implementation; including when consultation is necessary.
  • Maintains a working knowledge of policies and regulations in advising adjacent units when there is interplay with academic advising purview (e.g. SAP, campus deadlines, appeals in other units etc.)
  • Guides students in major exploration and qualification. Advises students on a wide range of program and course options and maintains a working knowledge of major qualification policies for eligibility towards potential majors(s).

30% - Administration
  • Maintains thorough and accurate records of student appointments, interactions, and communications in compliance with campus web-based electronic notes guidelines
  • Accurately applies academic regulations and processes to specific student cases
  • Completes administrative processes related to several exceptions and approvals (which may include withdrawals/ leaves of absence, course load approvals, etc.), utilizing campus-wide technical tools and systems.
  • Effectively utilizes campus reporting tools to analyze student records and complete tracking of student progress.
  • Manipulates and analyzes student data using spreadsheets and databases to evaluate and respond with effective advising interventions.
  • Creates, maintains, and oversees college processes to monitor student records including but not limited to: reaching academic milestones such as major declaration and graduation, leaving and returning to the university, and exceptions to policy.
  • Creates alternative/innovative approaches to support students
  • Manages time effectively, prioritizes workload, demonstrates follow through, and meet deadlines

5% - Student Programming
  • Utilizes available information and data about student advising needs related to academic success and persistence and consider resources to generate program ideas and intentional learning outcomes
  • Prepares and presents logical, clear, and engaging presentations that utilize multiple modalities both independently and in collaboration with other advisors and campus units
  • Solicits student feedback and utilizes data-based methods to determine if student learning is aligned with learning outcomes; applies knowledge gained from assessment to create more effective programming
  • May supervise peer advisors or other student staff


REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Related academic advising experience in a university setting, including analyzing educational records and applying academic policy.
  • Demonstrated excellent oral communication skills, sufficient to provide clear and accurate information and to teach students to track and evaluate progress toward graduation.
  • Excellent writing skills, to both provide clear and accurate information for students, and to communicate in writing effectively with campus partners and others.
  • Thorough knowledge of advising and counseling techniques, with the ability to build trust and provide safe, supportive opportunities for students to identify and pursue paths to graduation that support their educational goals and post-graduation plans.
  • Demonstrated ability to effectively interact with students, faculty, staff, and parents of diverse social, cultural, economic, and educational backgrounds, and an understanding of the institutional barriers and equity gaps faced by historically under-served student populations in higher education.
  • Understanding of how to respond to students in distress and/or facing barriers to their progress, including appropriate referrals to campus partners
  • Ability to build thorough knowledge of academic policies, procedures, requirements, and support resources.
  • Skills in judgment, decision-making, and problem solving.
  • Knowledge of common university-specific computer application programs, and ability to learn new systems.
  • Strong administrative, time management, and organizational skills, with the ability to follow through on tasks and meet deadlines.
  • Demonstrated ability as an effective team member, and the ability to exercise flexibility in a changing work environment.
  • Working knowledge of professional practices in academic advising, gained from prior experience and/or from association with professional organizations.


PREFERRED QUALIFICATIONS
  • Master's degree in a field related to academic advising, or equivalent work experience.


SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs, and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Ability to work occasional evenings and weekends as directed.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to travel to multiple work locations on and off campus.
  • Ability to maintain appearance and conduct suitable for working in a professional setting.
